In short

The best landlord software for Ontario depends on what you need most: Ontario paperwork (N4, L1, N1), Canadian rent collection, tenant screening, or bookkeeping. Propmo is built in Ontario around LTB preparation, rent increases and repairs; SingleKey is strongest for Canadian screening and rent collection; Propilot adds AI leasing on top of other software; and US-built tools such as Buildium, Landlord Studio and TenantCloud are mature but do not state Ontario LTB support.

How we compared, and a disclosure

This comparison is written by the team behind Propmo, one of the tools below. To keep it fair, every fact about another product comes from that company's own website as we read it on October 14, 2026, and each one is listed in the sources at the end. Where a vendor's own pages disagree with each other, we say so instead of picking a number.

Prices change often and several vendors show a dollar sign without saying whether it is CAD or USD. Always confirm the current price and currency on the vendor's site before you sign up.

What should an Ontario landlord look for in landlord software?

  • Ontario LTB forms that are current. Since September 21, 2026 an N4 for unpaid rent needs a termination date at least 7 days away, not 14. See our N4 guide.
  • Rent increase tracking against the Ontario guideline (2.1% for 2026, 1.9% for 2027) and the 90-day N1 notice. See our guideline guide.
  • Rent collection that works with Canadian banks, such as pre-authorized debit (PAD) or Interac, if you want to collect online.
  • Tenant screening that uses Canadian credit files (Equifax Canada or TransUnion Canada).
  • A tenant portal and a way to coordinate repairs with tradespeople.
  • Expense tracking you can hand to your accountant at tax time.

Propmo

Propmo is property management software built in Ontario for independent landlords. It keeps rent, tenants, leases, repairs, documents and expenses together for each property. Each month it asks whether rent arrived and builds a period-by-period ledger. For a nonpayment issue it assembles a case file and drafts the N4 and L1 from your records for you to review, using the 7-day N4 rule. It tracks rent increases against the guideline and the 90-day N1 window.

  • Strengths: Ontario LTB preparation, a tenant portal, repair coordination with local tradespeople who propose visit times, and two AI assistants: Sam follows up with tenants to book repair visits, and Sally answers questions about one property's finances.
  • Limitations: Propmo does not collect rent online or screen tenants, has no free trial or free tier, and is a web app rather than an app-store app. It does not give legal advice or file forms for you.

Propilot

Propilot is an AI layer from a Vancouver company that describes itself as working alongside the property management tools you already use. It handles leasing inquiries, showings, screening through Certn, maintenance coordination within your spending rules, and remote video inspections. It was built first for British Columbia and covers Ontario through a dedicated page, where it lists N4, N1 and N2 support and an Ontario Standard Lease.

  • Strengths: AI leasing and screening, maintenance dispatch to your approved vendors, and remote inspections.
  • Limitations: by its own description it is not a full property management system; rent collection, accounting and a tenant portal are not stated, and its pricing differs across its own pages.

SingleKey

SingleKey is a Canadian company (offices in Toronto and Vancouver) focused on the money and risk side of renting: tenant screening with Equifax and TransUnion, a Rent Guarantee, rent collection by Interac or pre-authorized debit, and a free province-specific eLease, including Ontario.

  • Strengths: Canadian screening with fast results, a rent guarantee, and bank-to-bank rent collection.
  • Limitations: it is not a full property management system; a tenant portal, maintenance and accounting are not stated, and it does not generate LTB forms.

Buildium

Buildium is mature property management software from a US company (a RealPage company) used in the US and Canada. It covers accounting with bank reconciliation, owner reporting, a resident app with work orders and payments, maintenance and vendor payments, and a suite of AI tools on its higher plans.

  • Strengths: depth for property managers and large portfolios, accounting, and iOS and Android apps.
  • Limitations: pricing starts at $62 a month, its defaults are US-centric (for example 1099 tax filing), and it does not state Ontario LTB forms, the Ontario Standard Lease or guideline tracking.

Landlord Studio

Landlord Studio is software for independent landlords with strong bookkeeping: income and expense tracking, bank feeds, a receipt scanner, more than 15 reports, Xero integration, and landlord and tenant apps on iOS and Android.

  • Strengths: a free plan for up to 3 units, low-cost paid plans, and mobile bookkeeping.
  • Limitations for Ontario: its help centre says online rent collection is US only, screening uses a US service, vendor assignment is still under development, and Ontario forms are not stated.

TenantCloud

TenantCloud is an all-in-one platform with portals and apps for landlords, tenants, service pros and owners. It covers listings, maintenance with service pro assignment, accounting and reports, and an AI listing writer on higher plans.

  • Strengths: flat pricing by number of leases, a service pro portal, and apps for every role.
  • Limitations for Ontario: its help centre says screening is for US properties and applicants only, online payments outside the US are by card through Stripe, and Ontario forms are not stated.

Which landlord software should you choose?

  • You manage a few Ontario units yourself and want repairs, rent tracking and LTB paperwork handled with AI help: Propmo.
  • Your priority is screening applicants and protecting rent: SingleKey, on its own or alongside another tool.
  • You run a property management business with many doors: Buildium.
  • Bookkeeping and mobile receipts matter most and you collect rent by e-Transfer anyway: Landlord Studio.
  • You want AI to handle leasing inquiries and showings: Propilot, alongside your main software.

Many Ontario landlords combine tools, for example a screening service such as SingleKey for new tenants plus a day-to-day system for rent, repairs and LTB paperwork.

Frequently asked questions

What is the best landlord software in Ontario?

It depends on what you need most. For Ontario LTB paperwork, rent increases and repairs, Propmo is built in Ontario for that. For Canadian tenant screening and rent guarantees, SingleKey. For a large property management business, Buildium.

Is there free landlord software in Ontario?

Some tools have free options. As of October 14, 2026, Landlord Studio lists a free plan for up to 3 units (its online rent collection is US only), SingleKey's eLease is free and its rent collection is free for the first 3 tenants. Check each plan's limits before relying on it.

Which landlord software can fill out Ontario LTB forms?

Of the tools compared here, Propmo drafts the N4 and L1 from your records and plans N1 rent increases, and Propilot lists N4, N1 and N2 support. Buildium, Landlord Studio and TenantCloud do not state Ontario LTB forms, and SingleKey publishes guides rather than generating forms.

Can landlord software collect rent from Canadian tenants?

Some can. SingleKey collects by Interac or pre-authorized debit and Buildium offers EFT. Landlord Studio's online rent collection is US only, and TenantCloud takes card payments outside the US. Propmo does not collect rent; it tracks payments you confirm.

Do US landlord apps work in Ontario?

Their general features (bookkeeping, maintenance, tenant apps) work anywhere, but several core features are US-only: Landlord Studio's rent collection, TenantCloud's screening, and US tax reports such as Schedule E and 1099. None of the three US tools compared here states Ontario LTB form support.
